How to complete an Asset Register

An Asset Register documents all of the fixed and loose assets owned by an organization. It is a valuable record for financial reporting purposes and commercial decision making.

  1. Make sure you plan out a systematic approach to move through the property so that you don’t count anything twice. Avoid moving items as much as possible, and replace them in the same spot if you do. If there are any cupboards, drawers, or other storage, keep them open so that anything kept inside is captured.

  2. Take photos – again, try not to repeat photos of the same item unless needing to capture multiple angles or details such as serial numbers.

  3. Use plain, simple language to describe items, and be specific enough that they can be differentiated from other similar items. Not any defects or damage where relevant (exclude minor wear and tear).

  4. Group like items together to make it easier when compiling the final register.

  5. Methodically move through the property one room or area at a time, noting down each item with a description, and where relevant - make, model, condition, and serial number. If there is more than one of the same item, make a tally of how many there are.

  6. Once you have completed all areas, move through again to ensure there is nowhere that has been missed. Do a quick recount of items and if there seems to be a discrepancy, check over that item again.

  7. Compile all of your records and enter them into a spreadsheet. At this stage it is ideal to have more than one person check over the document to ensure there are no errors in entering the data, and that everything is recorded in a clear and concise way. If there are any uncertainties, refer back to your photos to correct any details required.

  8. Categorise and group your items as best suits your needs, apply any formatting or design elements you require, and add any property or company details needed. Your Asset Register is now ready!
